Subsidy for  Domestic Graduate Students by the National Science and Technology Council (NSTC) 
to Attend International Academic Conferences

I. 
Who can apply 
    1. Full-time graduate students with YunTech academic status(excluding In-Service education program student)  
    2. The paper applied for funding is accomplished and will be published with the credit to the University (YunTech),
        and have been completed in the school but have not yet been published.      

II. Deadline for Application
     No later than the first day of the previous month of the conference holding month
     (YunTech deadline is before 12:00 noon) 
     (For example, if the conference will open on August 15, 2021,
     the application should be submitted before 12:00 July 1, 2021 by YunTech students).
     Application will not be accepted after the deadline.
   
 (After the postgraduate student submits it online, it must be submitted online by OIA.
     Please be sure to submit it before the YunTech deadline.)

III. About the Grant: 
       1. Grant Item(grantees have to pay by themselves in advance)
           (1) Round-trip airfare: An economy class round-trip ticket for the most direct route between
                Taiwan and the location of the conference, and the airlines restricted to those operated by Taiwan-registered companies.
           (2) Conference Registration Fee
           (3) For severely disabled grantees who need to be accompanied by an accompanying caregiver to
                attend the international academic conference, a round-trip economy class air ticket for the accompanying
                caregiver  may be subsidized with the approval of the NSTC.
       2. Expenses incurred for attending international conference, but not covered by the subsidies listed above,
           shall not be  reimbursed under any research projects funding of the NSTC.
       3. This subsidy is for the exclusive use of funds, and no other person may attend the international conference,
           change participation in other conferences, or transfer to other purposes.

IV. How to Apply: 
      1. Graduate students should first log in to the "Academic Research Service Portal" of the NSTC website 
          with their personal account to make the required documents online and send them to the applicant institution.
          The students should notify YunTech OIA of their application for the subsidy, then OIA will collect and compile
           the application materials and submit online to the NSTC.          
      2. Required Documents:
         (1) The application form
         (2) The official document indicating that a paper has been accepted for presentation at a conference
         (3) The abstract of the paper to be presented
         (4) The faculty adviser’s letter of recommendation (the student’s foreign language proficiency must be indicated).
              (Uploaded by the adviser with his/her personal account in the NSTC, not uploaded by the graduate student)
         (5) Other useful documents for review (e.g., the full text of the paper)
      3. Graduate students must apply for official business leave for going abroad on the Student Leave
         Application Online System (in YunTech SSO) in advance
. Students participating in various activities on 
         weekdays or holidays (including summer and winter vacation) for an official purpose, with no courses scheduled
         at YunTech during the leave, are still required to log into the Student Leave Application Online System to apply for leave.

V. Procedure for subsidized cases modification: 
     1. Subsidy cases shall not be arbitrarily changed without being submitted by the grantee and the 
          applicant institution and approved by NSTC.

     2. Grantees shall apply for changes online at the "Academic Research Service Portal" of the NSTC website and submit the
         relevant information. The students should notify YunTech OIA of their application for the changes, then after reviewing,
         the application shall be sent online to the NSTC. 
         The modification will be completed after NSTC permits the modification.
         Notice! all changes shall be applied before the conference, except for the cancellation applications.
     3. When the granted case is approved for cancellation by NSTC, the same graduate student can
         apply for attending other international academic conferences in the same year.

VI. Deadline for Reimbursement
      Within 15 days after the conclusion of the conference, the grantee must submit a report on the attendance of the
      international academic conference through the online system ("Academic Research Service Portal" of the NSTC website),
      register the funds for reimbursement, and inform YunTech OIA to submit online and also official document to the NSTC.
      Notice! The reimbursement must be accomplished before the accounting closing date in December.

VII. Required Documents for Reimbursement
        1. No higher than the approved amount of subsidy, grantees have to prepare the required documents in order,
            and handle the reimbursement application in accordance with YunTech's funding verification regulations.
            (in accordance with the Regulations for Reimbursement of Overseas Expenses)
        2. Required documents for Reimbursement
            (1). 學生專用國外出差旅費報告表Report Form for Foreign Business Travel Expenses for Students 
                  (signed by the grantee, advisor and supervisor of the department)

            (2). 來回登機證存根正本Original stub of boarding pass
                  (stick on the "支出憑證粘存單Expense Voucher Sticky Deposit Receipt")
            (3). 機票購票證明旅行業代收轉付收據Ticket purchase certificate
                  (If your receipt is the e-mail from the airline, please print out and sign on it)
                  or the receipt of the travel agency
(stick on the "支出憑證粘存單Expense Voucher Sticky Deposit Receipt")
            (4). 電子機票影本Copy of e-tickets
                  (with round-trip date, time, flight, and sign your name in the blank space)
            (5). 大會所發註冊費收據正本The original registration fee receipt issued by the conference
                  (If only electronic files available, please print it out  and sign in the blank space)
            (6). 支出憑證粘存單Expense Voucher Sticky Deposit Receipt
                  (signed by the supervisor of the department)
            (7). 公差假單Approval of official business leave for going abroad
                 (print the approved one from the system in YunTech SSO)
            (8). 未搭本國籍班機者,須附「因公出國人員搭乘外國籍航空公司班機申請表
                  Those who have not taken the airlines operated by Taiwan-registered companies must attach the
                  "National Yunlin University of Science and Technology Application Form for Taking Foreign Airlines for an Official Trip Abroad."
                  This application shall be approved by the Principle or an authorized representative of YunTech.
            (9). 核定函影本A copy of the approval letter
            (10). 同意變更核定函影本Copies of the approval letters for the change (if applicable)
            (11). 於國科會「學術研發服務網」線上繳交出席國際學術會議報告及登錄結報之經費(總額不得高於國科會補助金額)
                    Log in to the "Academic Research Service Portal" of the NSTC website,  submit a report about
                  the international academic conference, and register the funds for reimbursement.
                  (the total amount shall not be higher than the subsidy amount of the NSTC)

4.Courtesy Reminder
1. Each graduate student can only be granted once per year.
About the co-authored papers, the grant shall also be limited to one graduate student per paper.
2. The same graduate student who has received a grant from another government agency to attend an international academic
conference shall not apply for the grant again to NSTC. If the graduate student is found to have made a false statement,
his/her eligibility will be revoked.
(It is also not allowed to share the expense reimbursement with the special research projects of the NSTC.)
3. Grantees should apply for changes (including cancellation) online on the "Academic Research Service Portal" of the NSTC website,
and notify YunTech OIA of the application, then OIA will submit online to the NSTC.
Notice! all changes should be applied for before the meeting, except for cancellation applications.
4. If the international academic conference to which the grantee applies for participation adopts video conferencing, he/she participates in
the conference by video is deemed to have attended the conference in person.
5. Graduate students must apply for official business leave for going abroad on the Student Leave Application Online System (in YunTech SSO)
in advance. Students participating in various activities on weekdays or holidays (including summer and winter vacation) for an official purpose,
with no courses scheduled at YunTech during the leave, are still required to log into the Student Leave Application Online System to apply for leave.
6. Except for reasons caused by force majeure, if a grantee has not completed the report submission or the funding reimbursement for the
international academic conference with the prescribed deadline, he/she shall not submit the application for the international academic
conference in the following year.
